Pine Run Spring Fair 

Spring Fair 2010 UPDATE . . .

The goal of Spring Fair is to provide a fun community activity in which all students and families can participate.  Costs for food, tickets and entertainment are kept low to encourage participation by all.  

The Spring Fair is also Pine Run HSA’s largest fundraiser of the year, earning funds for student’s extracurricular activities including assemblies, field trips, reading enrichment and more!  Usually held in May, fundraising is primarily generated through the raffle, silent auction and sponsorship sales.

The Committee is seeking new volunteers to bring fresh ideas for games and activities for next year’s fair!  The Spring Fair team consists of: 

Co-chairpersons: Works with all team members to set goals, monitors progress of tasks, communicates with your organization's administrators, assembles final follow-up report for use by the next carnival team. 

Treasurer: Helps determine budget, monitors expenses, counts receipts from pre-sales and carnival-day sales, prepares follow-up expense/profit report. 

Tie-Dye Coordinator: Works with vendors and parents to coordinate advance orders (eg parking), troubleshoots during the carnival, prepares follow-up report. 

Prize Coordinator: Determines what and how many prizes to order, prepares prizes for distribution at carnival, coordinates prize room, prepares follow-up report on how many prizes used and what popular/unpopular prizes were. 

Food Coordinator: Determines what food to offer, coordinates food vendors, arranges for parent & corporate donations, sets up bake sale and trouble-shoots food operations during event, arranges for donation of unused food 

Mumford Money Coordinator: Corresponds with teachers and students to initiate program and works with ticket person to coordinate prizes. 

Donation Coordinator: Approaches businesses for sponsorship and support; coordinates donation requests with silent auction and food coordinators. 

Raffle: Assigns parent volunteers for each grade; coordinates parent communications, coordinates collection and assembly of donations. 

Silent Auction Coordinator: Contacts potential donors, coordinates acquisition of donations, arranges for acknowledgement of donors during the carnival, sends "Thank You's" to donors following carnival. 

Decoration Coordinator: Determines what lighting, decorations and signage will be needed, coordinates purchase, construction, set-up, and removal of decorations & signage. 

Game Coordinator: Selects games, coordinates game rental or construction, determines where games will be located, writes instructions for game operators, troubleshoots game operation during the carnival, prepares follow-up report on what games worked well and problem spots. 

Entertainment Coordinator: Determines which entertainment will be available, coordinates contracts, determines schedule of events, identifies where events will be located, provides instructions (eg parking). 

Volunteer Coordinator: Determines how many volunteers will be needed, recruits volunteers, schedules volunteer staff for games, food, set up and clean up, provides & checks in volunteers during the carnival. 

Ticket Sales Coordinator: Arranges purchase of tickets, publicity for pre-sales of tickets, and ticket sales during the carnival.
